Read before you reply
Identify the specific concern and check what you actually know. Avoid responding while angry, denying an experience without evidence or promising a remedy you cannot deliver. A public reply is read by future customers as well as the reviewer.
Use a simple four-part response
Acknowledge the concern, apologize where appropriate, offer a realistic next step and keep the response concise. Do not publish personal details, health information, booking records or payment information. Continue sensitive discussions privately without asking the reviewer to remove the review.
- Thank the customer for the specific feedback.
- Address the concern without blaming or arguing.
- Say what you can actually do next-do not invent corrective action.
- Invite private contact only when it helps resolve the issue.
Example response: a long wait
Acknowledge the impact without inventing a reason for the delay. This is an illustrative draft, not a claim that you investigated or fixed the issue.
Replace “contact our team” with a real, monitored contact channel before posting. Add an explanation only if you have checked what happened.
Thank you for sharing your experience. We’re sorry the wait affected your visit. We appreciate you bringing it to our attention. If you would like us to look into what happened, please contact our team with the date of your visit.
Example response: disappointing service
Show that you are willing to listen without automatically promising a refund or admitting facts you have not verified.
If you have already agreed a resolution, mention only what can appropriately be shared in public. Keep bookings, payments and personal details out of the reply.
We’re sorry your experience did not meet expectations. We would like to understand the issue better. Please contact our team so we can review the details with you privately.
How to respond to a one-star review with no text
A rating without an explanation gives you little to address. Do not guess what went wrong or assume it was a fake review. Keep the response short and offer an optional way to share details.
We’re sorry to see that your experience did not meet expectations. If you would like to share more, please contact our team so we can understand your concerns.
Publish a reply through Google or Rewlio
In Google Business Profile, choose Read reviews and Reply next to the review, enter your response and submit. Replies are public after Google approval. In Rewlio, connect an authorized profile, choose the review, generate a draft, edit it and publish. Use the free reply generator if you want to try a draft before connecting Google.
Report policy violations, not criticism
A negative review is not automatically removable. Report content only when it violates Google’s policies, such as prohibited harassment or fake engagement. Google decides whether it should be removed. Rewlio cannot delete a customer’s Google review for you.
Common mistakes to avoid in a negative review reply
Write for both the reviewer and future customers. A defensive reply can make a manageable complaint look like a larger problem.
- Do not accuse the reviewer of lying without verified evidence.
- Do not offer a reward for deleting, changing or posting a review.
- Do not paste the same generic apology under every complaint.
- Do not disclose private information to prove your version of events.
- Do not claim a fix, refund or staff training happened if it did not.
